There is a free that costs you nothing, and a free that costs you a credit card in thirty days. Most dental software means the second one.

A general dentist sends around 20 specialty referrals a month. A real share of those go quiet the moment the slip or the fax leaves the front desk. Maybe the specialist got it. Maybe the patient called. Maybe treatment started. Most offices have no way to know without picking up the phone, and the phone rarely gets picked up.

That gap costs money. Industry surveys put the dental referral failure rate at roughly 30 to 40 percent of paper referrals (DentistryIQ). At an average specialty case value near $2,500, a practice losing five to seven referrals a month is leaving well over $150,000 a year unaccounted for across its specialist network.

Software built for dental referrals exists to close that gap. Here is what "free" actually means in this market, and what to look for before you trust any of it with patient information.

The three kinds of free

The word gets stretched. Before you evaluate anything, sort out which version is on the table.

01

Free trial

A window, usually 14 to 30 days, after which you are billed or locked out. Costs nothing to test, solves nothing about long-term adoption.

02

Freemium

The basics are free and the parts you actually need sit behind a paywall: tracking, reporting, secure messaging, record sharing.

03

Free for one side

In a two-sided network the specialist pays and the general dentist sends at no charge. No time limit, no throttle, no card. This is how CaseLink works.

What to look for in a free tier

Not every free tier earns the word. These criteria separate a genuine offering from a lead magnet with a short shelf life.

HIPAA alignment. Anything touching patient information needs end-to-end encryption, audit logs, and a Business Associate Agreement available on request. A platform that cannot offer a BAA has no business holding identifiable patient data.

Messaging tied to the case. Phone tag and email defeat the point. Messaging should attach to each case record. A separate inbox that makes you re-explain context every time is no better than the phone you already have.

File and image sharing. Specialists need radiographs, notes, and photos. A platform that moves only a name and a number has not improved on the paper slip.

Status from send through treatment. You should see where a case stands without calling the specialist. A shared timeline takes the follow-up call out of your week.

No forced migration. It has to work alongside what you already run, whether that is Dentrix, Eaglesoft, or Open Dental. A free tool that demands you replace your practice management system is not free in any real sense.

What CaseLink gives general dentists

CaseLink is a HIPAA aligned referral and collaboration platform. General dentists use it to send structured referrals, track case progress, and communicate securely about each patient.

The GP tier is permanently free. No trial. No card. Referral creation, status tracking, secure messaging, file sharing, and notifications are all included at no charge.

A referral runs like this. The front desk opens a new case from the dashboard, adds patient identifiers, the clinical reason, and any relevant files, then picks a specialist from the directory. The specialist receives it, accepts it, books a consult, and updates the case as treatment moves. Every status change shows up on the GP side in real time. The pipeline has six stages, from Referral Received through Treatment Accepted, and both offices read the same one.

CaseLink does not replace your practice management system. Scheduling, billing, and charting stay in Dentrix, Eaglesoft, or Open Dental. CaseLink handles the referral and the conversation around it. There is no data-level integration with those systems today, so files like radiographs are exported from your PMS and attached to the case.

Why the GP side is free

For a general dentist the calculation is direct. Every referral that falls through is about $2,500 in specialist production, a patient relationship under strain, and a return visit that may not happen. The staff managing referrals by hand spend their time on status calls and tracking spreadsheets that could go to better use.

The GP side is free because the network only has value if GPs are in it. That is the whole business model. Specialists pay $299 a month. GPs participate at no cost because their referrals are what the network runs on. Joining takes a practice profile and a login at app.caselink.net, with no contract and no integration project.

Getting started

A new GP practice can create an account and send a first referral in under 30 minutes. CaseLink runs in the browser, so there is nothing to install.

Create the account, fill in the practice profile, and search the directory for the specialist you want. If they are already on CaseLink, the referral lands in their inbox. If they are not, an email invitation goes out and takes them under a minute to accept.

For a practice sending 20 referrals a month and losing a third to the gap between sent and seated, even one recovered case more than covers the specialist's cost. For the GP, the cost is already zero. The only price of staying out is the status quo, where referrals leave the desk and vanish.

Frequently asked questions

Is CaseLink really free for general dentists?

Yes. The GP tier is permanently free, with no trial period, no feature gate on the core referral workflow, and no credit card. GPs create an account, complete a profile, and start sending.

Does it work with Dentrix, Eaglesoft, or Open Dental?

It works alongside them without replacing them. There is no data-level integration today. Scheduling and billing stay in your system. CaseLink handles the referral workflow and case communication.

Is CaseLink HIPAA aligned?

Yes. End-to-end encryption and audit logs across all case activity, with Business Associate Agreements available to subscribed specialist practices.

What if the specialist I want is not on CaseLink?

Invite them from the referral screen. The invitation takes under a minute. They get an email, create an account, and accept the referral once set up.

Can office managers and front desk staff run it?

Yes. CaseLink is built for the full front office. Staff can create referrals, manage communication, and track status without the dentist in the administrative loop.

How long does setup take?

Under 30 minutes from account creation to first referral. It runs in the browser, so there is nothing to install.
